1. Who we are
FusionEco FieldOps ("FieldOps", "the App") is an enterprise field operations application published by FusionEco ("FusionEco", "we", "us", "our"). The App is used by technicians, engineers, supervisors and facility managers to carry out work orders, planned preventive maintenance (PPM), reactive maintenance, asset lookups and inspections on behalf of the organisation that employs or engages them.
This policy explains what information the App handles, why, and what choices you and your organisation have. It applies to the FieldOps Android application and the FusionEco backend services it connects to. It does not apply to third-party systems your organisation may separately operate.
2. Your employer's role
FieldOps is licensed to organisations, not to individual consumers. Accounts are created and managed by your organisation (your employer or the facilities management provider you work for).
In most cases your organisation is the data controller for the information processed through FieldOps, and FusionEco acts as a data processor on its instructions under a written agreement. Your organisation decides which data is recorded, who may see it, and how long it is retained.
Because of this, requests to access, correct, export or delete work-related records are normally handled by your organisation. We will support your organisation in responding to such requests. FusionEco acts as an independent controller only for limited purposes such as securing the service, billing our customers, and product diagnostics.
3. Information we collect
We collect only what is needed to operate an enterprise maintenance application. The table below sets out each category, examples, and why it is processed.

Offline use
FieldOps can operate without a network connection. Work orders, checklists, readings and captured evidence are stored in an encrypted area of your device's application storage and synchronised to FusionEco servers once connectivity returns. This local copy is removed when you sign out or uninstall the App.
What we do not collect
- We do not collect data from your device that is unrelated to your work — contacts, calendars, SMS messages, call logs, browsing history or health data.
- We do not access your device camera, microphone or location in the background.
- We do not collect payment card details through the App.
- We do not use advertising identifiers or build advertising profiles.
4. Device permissions
The App requests the minimum Android permissions required for its functions. Each is requested at the moment the relevant feature is used, and you may decline or later revoke it in Android Settings; only the related feature will stop working.

5. How we use information
- To authenticate you and maintain a secure session within your organisation's tenant.
- To assign, display, execute, evidence and close work orders, PPM activities, reactive maintenance and inspections.
- To maintain asset records, maintenance history and compliance documentation for your organisation.
- To synchronise offline work and resolve sync conflicts.
- To send operational notifications about work assigned to you.
- To provide support to you and your organisation.
- To secure the service — detecting unauthorised access, abuse and misuse, and maintaining audit trails.
- To diagnose crashes and improve the reliability and performance of the App.
- To comply with legal, regulatory, health-and-safety and contractual obligations.
We do not use your information for automated decision-making that produces legal or similarly significant effects on you.
6. Legal bases for processing
Where the GDPR, UK GDPR or comparable laws apply, processing is based on:
- Performance of a contract — providing the service to your organisation under our customer agreement.
- Legitimate interests — securing the service, preventing abuse, maintaining audit trails and improving reliability, balanced against your rights.
- Legal obligation — meeting record-keeping, safety and regulatory requirements.
- Consent — where required for optional features such as location, camera, microphone and notifications, given through the Android permission prompt and withdrawable at any time in device settings.
8. Third-party services
FieldOps relies on a limited set of processors and SDKs:

These providers process data on our behalf under contractual confidentiality and security obligations, and are not permitted to use it for their own purposes.
9. No advertising, no sale of personal data
FieldOps contains no advertising. We do not sell or rent personal information, and we do not share personal information for cross-context behavioural advertising or targeted advertising as those terms are defined under applicable privacy laws.
10. Security
- All communication between the App and FusionEco servers uses HTTPS/TLS encryption. The App does not transmit service data over unencrypted connections.
- Data at rest, including offline data on the device, is stored in encrypted form.
- Passwords are stored only as salted cryptographic hashes and are never retrievable in plain text.
- Access is controlled by role-based permissions and strict tenant isolation, on a least-privilege basis.
- Security-relevant events are recorded in audit logs.
- Sessions expire and can be revoked remotely by your organisation's administrators.
No system can be guaranteed completely secure. If we become aware of a personal data breach affecting your information, we will notify the affected organisation and, where required, the relevant supervisory authority and affected individuals, without undue delay.
11. Data retention
- Account data is retained while your account is active under your organisation's subscription.
- Work orders, inspections, maintenance records, asset history and associated evidence are business and compliance records belonging to your organisation, and are retained for the period defined in its agreement with us and its own retention policy.
- Diagnostic and crash data is retained for a limited period, typically no longer than 24 months.
- Audit logs are retained as required for security and compliance purposes.
- Offline data on your device is deleted when you sign out or uninstall the App.
When a customer agreement ends, data is deleted or returned in accordance with that agreement. Backups are purged on their normal rotation cycle.
12. Account and data deletion
You can request deletion of your FieldOps account and associated personal data from inside the App:

You can also submit a request by email to privacy@fusioneco.com from your registered work email address, or via our account deletion page.
Important for organisation-managed accounts. Because FieldOps accounts are provisioned by your employer, a deletion request is routed to your organisation's administrator for authorisation. On approval we delete or irreversibly anonymise your personal profile data — name, email, phone number, employee ID, credentials, device identifiers and push tokens.
Work orders, inspection results, readings, asset history and captured field evidence are your organisation's operational and compliance records. These are retained by your organisation and, where retention is required, your identifying details within them are replaced with an anonymised reference rather than being erased.
We aim to action verified deletion requests within 30 days. Residual copies in secure backups are removed on the normal backup rotation cycle.
13. Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict or object to the processing of your personal information, to data portability, and to withdraw consent. You also have the right to lodge a complaint with your local data protection authority.
Because your organisation controls the data in FieldOps, please direct your request to your organisation's administrator or data protection contact in the first instance. If you contact us directly at privacy@fusioneco.com, we will forward the request to the relevant organisation and assist it in responding. We do not discriminate against anyone for exercising these rights.
14. International data transfers
Your information may be processed in countries other than the one you live in, including where our cloud hosting and support operations are located. Where such transfers involve personal data protected by the GDPR, UK GDPR or similar laws, we rely on appropriate safeguards such as Standard Contractual Clauses or an applicable adequacy decision. Where your organisation requires data to remain in a specific region, that is agreed in its customer contract.
15. Children
FieldOps is an enterprise application intended for use by working professionals aged 18 and over. It is not directed at children, and we do not knowingly collect personal information from children. If we learn that we have done so, we will delete it.
16. Changes to this policy
We may update this policy to reflect changes in the App, our practices or the law. The "Last updated" date at the top of this page will change when we do. Material changes will be communicated to customer organisations and, where appropriate, shown in the App. Continued use of FieldOps after an update means you accept the revised policy.
